Privacy policy

This policy explains how Copoly.ai Inc. ("Copoly", "we") handles personal information collected through the officesage.ai website. It does not cover the information our customers put into the OfficeSage service, which is governed by our agreement with each customer.

What we collect

When you visit the site

Like most websites, our servers automatically record technical details of each request:

• your IP address
• the date and time
• the page requested
• the page that referred you
• your browser type

We use this only to keep the site secure and working — for example to block attacks and investigate errors. These records are deleted after 30 days.

We do not use cookies, analytics, advertising or tracking technologies on this site, and we do not build profiles of visitors.

When you email us

If you write to info@copoly.ai or admin@copoly.ai, for example to book a demo or send us a security questionnaire, we receive your name and email address, your organization, and anything else you include in your message.

We use it to reply and to follow up on your request. We keep it for 60 days after our last exchange, unless you become a customer or the law requires us to keep it longer.

We do not sell personal information, and we will not add you to marketing emails unless you ask us to.

Service providers, and where information is stored

We use service providers who process information on our behalf, under contracts that require them to protect it:

• Google Cloud hosts this website on servers in Montréal. Its logging service, which holds the request records described above, may store them outside Canada.
• Google Fonts serves the typeface used on the site. When a page loads, your browser requests the font from Google, which receives your IP address and browser details.
• Microsoft 365 hosts our email.

Because some of these providers may store information or access it outside Quebec and Canada, that information may be subject to the laws of those places. We assess the protection offered before entrusting personal information to a provider outside Quebec.

How we protect it

Access to this website's logs is limited to authorised Copoly staff, and administrative access to its systems requires multi-factor authentication. Our web agency can upload site content but cannot reach the logs. Information is encrypted in transit.

Your rights

You can ask us to give you access to the personal information we hold about you, to correct it, or to delete it or stop using it where the law allows. If you are in Quebec, you can also ask for it in a structured, commonly used technological format, and ask that it be de-indexed where the law allows.

To make a request, contact our privacy officer below. We will reply within 30 days.

If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada or, in Quebec, to the Commission d'accès à l'information du Québec.
